Global trends like digitalization and the hyper-exponential speed of change demand leaders to Command and Communicate fast, and with ease and comfort. However, how can a leader encourage the organization and employees to act accordingly? Three things need to be in place to make this happen.

The organization and employees:

perceive the leader as being credible.

see the leader as being intelligent.

feel comfortable to talk in a trusting environment.

It means the leader is capable of building an environment of trust and positive perception – he can build rapport.

In a conversation, suppose all shared information (verbal and non-verbal) is 100%. It is a fact: research tells us that only 7% of communication is successfully transmitted verbally. The remaining part is voice tone (38%) and physiology (55%) like facial expression and body language. It means, 93% of the shared information is non-verbal communication, operating at the subconscious level. Imagine, how much time is invested up until now to prepare presentations focusing solely on the wording (very much what we say and less how we say it), while (unconsciously) ignoring the other 93%!

As we are often unaware of this fact, body language and other influential factors are handled in the unconscious, and consequently, in an unintended way in conversations and presentations. Going into any discussion being well-prepared content-wise (‘what’) is a prerequisite. This attitude of preparedness is complemented with being clear about the situation, i.e., being able to anticipate different outcomes and associated emotions, how to phrase communication, and being fully aware of body language correctly and gestures/postures to be successful.

Influence with Integrity aims to empower leaders to unleash the potential of this overlooked likely 93% of communication and to improve the other 7% as well. It helps the leader to make verbal and non-verbal repertoire a conscious choice to achieve his goals in day-to-day activities.

Imagine a person who feels comfortable in public speaking and is doing essential presentations with ease and comfort. He uses both facts and a narrative, conveys a vision and a purpose with his messages while entertaining and engaging with the audience at the same time. The audience loves to listen to that person and perceives him or her as getting across credibly and intelligently, and as being able to create an environment of trust.

We expect leaders to have these according to personality traits and capabilities, right?

Further attributes of an excellent communicator are: he demonstrates charisma, flexibly tuning-in into different personalities and listening actively and fully focused. He is fully aware of his ego, own emotions, behaviors, and body language, and consciously knows how to use all of these to get the message across purposefully and with projecting capabilities of his voice.

The excellent communicator uses metaphors and storytelling naturally. He builds rapport in no time because he can read the signs of non-verbal communication and use it to create a positive atmosphere of trust and mutual respect. He guides any conversation with ease and can explore the map of the world of the person he is speaking to. At the same time, he helps that person to be more explicit about her thoughts and ideas in a co-creating way.

According to Psychology Today, “Surveys about our fears commonly show fear of public speaking at the top of the list. Our fear of standing up in front of a group and talking is so great that we fear it more than death, in surveys at least…When faced with standing up in front of a group, we break into a sweat because we are afraid of rejection. Moreover, at a primal level, the fear is so great because we are not merely afraid of being embarrassed or judged. We are afraid of being rejected from the social group, ostracized, and left to defend ourselves all on our own. We fear ostracism still so much today it seems, fearing it more than death because not so long ago getting kicked out of the group probably really was a death sentence.”

Understanding how social anxiety might express, several options exist to overcome resp deal with the fear of public speaking. The critical element is to help to gain control over such kind of situations. Master specific techniques of public speaking help to achieve control over the speaking situation. Techniques like using metaphors and storytelling, applying gestures in a specific way, pausing, connecting with the audience, and perceiving the subtle difference between “laughing with somebody” vs. “laughing about somebody.” These techniques are not rocket science and can be learned and internalized.

You might be surprised to read that people who prepare themselves for giving a 15 min TED Talk speech usually invest sixty to eight hours of work to get this speech adequately prepared and delivered? Well, it is like that. One aspect of this intense preparation is to achieve a certain level of control.

A practical way to overcome public speaking fears is to exercise and practice public speaking in a small group while the video is recording the progress. You wouldn’t disagree, you are the most reliable judge if it comes to judge your performance, right? The purpose of the recording is to demonstrate to yourself how you improved your performance step by step. This is the best reward, and it creates self-confidence and the perception that public speaking is not about being rejected or not but to deliver and share your views and experience with an audience in a professional yet personal style with confidence and ease.

Imagine, how many options do you have that more than two or three people want to listen to what you have to say? Isn’t it worth to adequately prepare each of these opportunities thoughtfully? Isn’t it very likely that somebody who joins your speech is doing so because it is his own decision?

Rapport Building is an essential element in professional relationship creation. Rapport is a dance of mutual responsiveness. It is the ability to relate to others in a way that creates a climate of trust and understanding. The purpose of rapport is to establish a feeling of comfort and commonality between people. Rapport provides the capability to see each other’s point of view, to be on the same wavelength, and be able to appreciate other people’s feelings and perspectives. Rapport develops from responding to someone utilizing the power of words (7%), voice tone (38%) and physiology (55%). This means, 93% is non-verbal. Purposeful rapport building demonstrates the high art of communication.

The reason is, communication distinguishes between visual, auditory, kinesthetic, and audio-digital preferences. These preferences express themselves in the way a person is speaking, e.g., While “I can see what you mean” rather clearly indicates a person with a visual preference, a person saying “I can hear what you say” reveals more of an auditory preference. Knowing this preference in a conversation helps a lot to build rapport.

Watching eye patterns during a conversation is also meaningful because eye patterns reveal mental processes non-verbally. For example, after some calibration, one can identify if the other person is recalling information or instead of constructing a piece of information when answering a question.

If you consider your life – be it the professional one or your social one – right now, which of the two scenarios is more familiar to you: The one which makes you react to any external trigger like the notifications of your smartphone? Or is it more the one which indicates you are in control of your state? If it is the first, this might indicate your perception and awareness levels have the potential for improvement. Regular use of techniques like yoga, breathing, and meditation helps a lot to raise awareness levels and enhance perception. This is what this solution is about. Learning the techniques the right way is the key.

Imagine this scenario: during a day, about sixty thousand thoughts keep your mind buzzing all the time. Your smartphone attracts your attention many hundred times a day. Every click triggers your dopamine levels which indicate a reward, and your brain wants more of that reward. So, unconsciously, you spend more and more time on your smartphone. Your attention span reduces to a couple of minutes determined by the average length of a typical YouTube video. Your unconscious mind rules your behaviors without you being consciously aware of it: emotions surface all of a sudden and make you regret later on of how you behaved and what you said. This might damage your reputation among colleagues and friends. Who is in control? The proverb “If you can’t control emotion you are addicted to it” summarizes quite well what is going on. This scenario describes what it could mean not being in control, but on auto-pilot, the unconscious mind is the navigator while your conscious mind is concerned with any thought all the time.

Now, imagine this scenario: you are more focused and aware of your emotions, thoughts, behaviors, and actions. You make a conscious choice which thought to follow and which thought to let go, how to manage an upcoming emotion and how to respond to it when to use your smartphone, what to pay attention to. Do you think this scenario is more like being in control?

Meditation began in Vedanta. Buddhism and Hinduism adopted meditation. Today mindful meditation is recognized as a form of cognitive therapy. Mindful meditation focuses the attention on breathing, bodily sensations, and mental relaxation.

Buddha was asked, “What have you gained from meditation?” He replied “Nothing! However, let me tell you what I have lost: Anger, anxiety, depression, insecurity, fear of old age, and death.”

Meditation increases self-awareness and social awareness.

Meditation has many positive effects on the mind and body, and both interact. By influencing the mind, we can affect the body, which in turn affects our mind and vice versa. Meditation reduces perceived stress, adverse mental health, increases emotional intelligence, and enhances perception.

Stress leading to burnout – defined as emotional exhaustion, depersonalization, and a low sense of accomplishment – which links to an increase of errors, a decrease of empathy, substance abuse, stress-related health problems that need to be managed or best prevented. An improvement of anxiety (22 – 38 %) and depression (23 – 30 %) not only helps mental health. Evidence suggests anxiety leads, e.g., to heart disease.

The components of Yoga affect different systems: physical postures (Asanas) affect the musculoskeletal system, breathing affects the heart and lung functioning, and meditation affects cognitive and emotional functioning. Yoga is the union of all three: physical, breathing, and meditation.

Breathing techniques are a starting point to achieve focused attention:

Focus at the moment right now and, g., which is useful to listen at your best.

Can also be a form of meditation

Outward-effect: perception of trustworthiness for the listener

Inward-effect: affects the mind‘s capabilities

“In a moment when you need to think smart and fast, how do you expect your brain to do it when you starve it of oxygen? Breath in, breath out, think!”

The chemical composition of the human body is 65 % oxygen. Breathing is the most critical activity in life. It is the base of making the body and mind functioning. We consume ~45 kg of oxygen in ~22,000 breath a day. It regulates the heartbeat as we inhale oxygen and exhale toxins. It is critical for the conversion of food into energy. It is a natural way to increase energy levels. Deep breathing recharges hemoglobin (red blood cells) which is an iron molecule with a magnetic property. It increases electromagnetic flow into the body. This – like meditation – helps the body’s natural healing process. Deep breathing helps the body to higher capacity and endurance and enhances the structural and functional integrity of the brain. Diaphragm movement stretches the lumbar spine and pumps essential nutrients into soft tissue preventing spinal degeneration and chronic pain syndromes

Aside from these health benefits, breathing is the most fundamental influential factor in communication. It is the most critical component of physiology to work with because it influences tonality, words, thinking, emotions, and perception. Fundamental breathing techniques help to become aware of the importance of breathing and how to use it before a conversation, e.g., to calm down, to release stress, and in discussions to be more focused.

Nobody would disagree with the fact that most sophisticated breathing techniques are anchored in the different yoga practices of the Eastern World. However, one does not need to become a Yogi to benefit from this ancient wisdom. Some fundamental methods do in the beginning. Also, breathing is an essential technique to raise awareness levels, i.e., to be entirely focused and aware at the moment right now. That is why breathing should be trained as early as possible because it has such a substantial impact on how we are perceived. The same time, it is essential to rapport building.
